What this policy covers

This policy describes the processing of data by the internal integration application that GREEN REPUBLIC sp. z o.o. uses to manage its own Yerbador and Sakuro Matcha brand profiles on Facebook, Instagram and Threads. The application is not made available to third parties and has no login for external users.

What data we process

  • Public comments under our posts and ads: comment content, comment ID, author name, date, link to the comment.
  • Private messages sent to our profiles: message content, conversation and sender ID, date.
  • Statistical data on our posts and advertising campaigns, which do not identify an individual person.

We do not collect friend lists, phone numbers, e-mail addresses or location data from Facebook, Instagram and Threads. We neither buy nor sell data.

Why we process it

Solely in order to answer a customer’s question, handle a complaint, hide offensive content or spam under our posts and to measure the effectiveness of our own ads. The legal basis is our legitimate interest in providing customer service and brand communication (Art. 6(1)(f) GDPR), and, as regards fulfilling an order, performance of a contract (Art. 6(1)(b) GDPR).

Automation

We use artificial intelligence tools to prepare the content of our replies. Our replies concern only our products and order handling. We do not make automated decisions about anyone that produce legal effects. You can ask to speak with a human at any time — just let us know.

How long we keep it

We keep comments and messages for no longer than 24 months from the last contact, after which we delete them. Data needed for accounting or for defending against claims is kept for the period required by law.

Who we entrust it to

To the providers of the infrastructure and tools we use in this process: OVH SAS (servers, European Union), Meta Platforms (data source), Anthropic PBC (content processing by a language model) and to a company within our group, OROTAL Commodities Trading SA, Rue de Champel 29, 1206 Genève, Switzerland, UID CHE-264.449.639 — which acts as the legal and financial backbone of the Yerbador and Sakuro Matcha brands. Each of these entities operates under a data processing agreement and solely on our instructions. The transfer of data to Switzerland takes place on the basis of a European Commission decision confirming an adequate level of data protection in that country.

Your rights

You have the right to access your data, rectify it, delete it, restrict its processing, transfer it and object to its processing. You may also lodge a complaint with the President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw, Poland. Please send your request to [email protected] — we reply within 30 days.
